I liked the expense report that you sent me.

We are under the risk of not being able to fulfill the deadlines of the project. I remember that something similar happened a few years ago. The resources and the personnel weren’t available.

You can avoid situations like this with three simple steps.

Speak about a specific situation.

[FEMALE MANAGER]
I used to say that I liked the reports but I never specified why! When I gave clear examples and details of what was what they were doing good now I’m receiving very useful documents.

Be specific in the behavior you want to feedback.

[FELLOW EMPLOYEE]
I always said she was late but never in a specific way. Now, I speak about the exact time in which her tardiness affected her and the team.

[NARRATOR]
Talk about the impact of that behavior in the people or the result of the project.

[MALE MANAGER]
I always gave a lot of context he spoke and spoke about what was being bad but never mentioned the consequences of those conducts and what could be done to improve them.

Once I explained the impact to the team they understood and now everything is working much better.

[NARRATOR]
So, now you know, when you give feedback speak about a specific situation, be specific about the behavior, and make sure they understand the impact.
